How to send payment reminders on WhatsApp

Overdue invoices get paid faster when the follow-up is quick, polite and consistent. Here's how Singapore businesses can chase payments on WhatsApp without damaging the relationship or the number.

The short answer

Send a friendly reminder a few days after the due date, a direct request for a payment date around two weeks overdue, and a firm final reminder around 30 days overdue. Include the invoice number, amount and due date every time, ask a question the customer can answer with a date, and leave about a week between messages. Send from a WhatsApp Business number during business hours, and stop chasing as soon as the customer promises a date or raises a dispute.

Example WhatsApp payment reminder messages

Three messages for three stages. Each opens with the facts, follows with a short personal note, and ends with a simple sign-off.

Friendly reminderAbout 3 days overdue

Hi Sarah, it's Vantage Works here with a quick note about invoice INV-1042 (S$4,800, due 2 Oct 2026).

It looks like this one may have slipped through the cracks, which happens to the best of us! Could you let us know when we can expect payment?

Thanks so much, we really appreciate your help.

Direct follow-upAbout 14 days overdue

Hi Melvin, Vantage Works here following up on invoice INV-2201 (S$9,150, due 18 Sep 2026), which is still outstanding.

We haven't seen this come through yet. Could you share a specific date we can expect payment?

Thank you for looking into this.

Firm final reminderAbout 30 days overdue

Hi Grace, this is Vantage Works regarding invoice INV-0031 (S$1,800, due 1 Sep 2026), which is now significantly overdue.

We'd like to settle this without further delay. Please arrange payment this week, or let us know what's holding it up.

We look forward to resolving this promptly.

Best practices for chasing payments on WhatsApp

Include the facts every time
Invoice number, amount and due date in every message, so there's nothing to look up and no room for confusion.
Ask a question
"When can we expect payment?" gets a reply far more often than "please pay". A date is something you can follow up on.
Escalate gradually
Start warm and assume an oversight. Only get firmer when earlier reminders haven't worked.
Leave a week between reminders
Daily messages feel like pressure and get blocked. Seven days is a sensible default.
Message at a normal hour
Weekday business hours. A reminder at midnight, or on a Sunday, reads as aggressive.
Match the relationship
A key account and a habitual late payer shouldn't get the same message. Note how each customer should be treated.
Never threaten
Avoid legal threats, contacting someone's boss, or aggressive language. Firm is fine; hostile backfires.
Act on replies
If they promise a date, stop chasing until then. If they dispute the invoice, stop and sort it out personally.

WhatsApp Business rules you should know

  • Messages sent from software go through Meta's WhatsApp Business Platform, from a WhatsApp Business number. A personal WhatsApp account can't be used.
  • Outside a 24-hour conversation the customer started, you can only send a message template that Meta has reviewed. Payment reminders are "utility" templates.
  • Templates have fixed wording with gaps for details such as the invoice number and amount. A template that is almost entirely free text is more likely to be rejected.
  • Meta rates every business number's quality from how recipients react. Frequent blocks or reports can lead to sending limits or restrictions.

Common questions

Is it acceptable to chase invoices on WhatsApp in Singapore?

Yes. WhatsApp is the main way many Singapore businesses talk to each other, and a short, polite reminder from a business number is normal. Keep it professional, include the invoice details, and only message customers you have an existing business relationship with.

Do I need a WhatsApp Business account to send payment reminders?

To send reminders from software, yes: messages must go through Meta's WhatsApp Business Platform from a WhatsApp Business number. You can still keep using the WhatsApp Business app on the same number. Reminders sent outside a 24-hour customer conversation must use a message template Meta has approved.

How much does it cost to send a WhatsApp payment reminder?

Meta charges per message. In Singapore a utility message, which is the category payment reminders fall under, costs about 2 cents. Replies from customers are free, and so is replying to them within 24 hours.

Can my number get banned for sending payment reminders?

WhatsApp can restrict numbers whose messages are often blocked or reported. Reminders to genuine customers, a week apart, at sensible hours, rarely cause problems. Start slowly with a new connection, and watch your number's quality rating in WhatsApp Manager.

How many reminders should I send before escalating?

A common approach is three: a friendly reminder a few days after the due date, a direct request for a payment date around two weeks overdue, and a firm final reminder around 30 days overdue. After that, call the customer or consider formal steps.
