Everything Vowline does to get your invoices paid

Vowline drafts a WhatsApp reminder for every overdue invoice, helps you review and send them in minutes, reads the replies, and protects your business number along the way.

Reminders written for each customer

Vowline drafts a WhatsApp reminder for every invoice that's due one, in a tone that fits the relationship.

AI-drafted personal note
Each reminder carries a short note written by AI (Anthropic's Claude) from your notes on the customer, their payment history and earlier messages about the invoice.
Three escalation stages
A friendly nudge, then a direct request for a payment date, then a firm final reminder. Thresholds default to 3, 14 and 30 days overdue, and you can change them.
Per-customer limits
Cap how far each customer escalates, so a key account never gets past a friendly reminder.
Red lines the AI never crosses
No legal threats, no contacting someone's boss, no aggressive language, plus any rule you add in your own words.
Redraft or edit anytime
Change the note directly in the message, or ask for a fresh draft with one tap.

A two-minute morning review

Reminders are drafted at 12am and waiting for you by morning, on your phone or computer.

See exactly what's sent
Each card shows the full message as your customer will see it, with the personal note highlighted for editing.
Tick and send together
Tick the reminders you've reviewed and press Send all. You confirm the list before anything goes out.
Hold a reminder back for a day without losing it.
Morning summary email
At 8:30am, a short email with how many reminders are ready and who replied overnight. It never includes names or amounts.

Replies handled for you

When a customer answers, Vowline reads the reply and adjusts chasing automatically.

Promises to pay
Chasing pauses until the promised date, then resumes if the invoice is still unpaid.
Disputes
Chasing stops for that invoice so you can sort it out personally.
"Already paid"
Flagged for you to check and mark paid, so nothing is closed by mistake.
Chats
Every conversation in one place. Reply directly to customers from Vowline.

Autopilot, with guard rails

For customers you trust, the first friendly reminder can go out on its own.

Per customer, opt in
Off by default. Turn it on only where you're comfortable.
First reminder only
Firmer reminders always wait for your review.
Sent at 8:30am
Drafted overnight, sent in the morning, never in the middle of the night.
Held back when needed
Paused automatically for new connections and if your number's quality drops.

Built on the official WhatsApp Business Platform

Reminders come from your business, through Meta's official platform, with formats Meta has approved.

Use your existing number
Connect the WhatsApp Business number your customers already know and keep using the app as normal.
Or a dedicated number
Prefer to keep reminders separate? Connect a new number used only for Vowline.
Number health checks
Connection, templates and quality rating are checked every morning, with plain-language warnings if anything changes.
Gentle start
New connections send up to 20 reminders a day for the first 7 days to build standing with WhatsApp.

Customers and invoices

Everything Vowline needs, without connecting your accounting software.

Spreadsheet import
Paste from Excel or upload a CSV. Customers are matched or created, with a preview before anything is saved.
Customer notes
Write how each customer should be treated. Notes are followed in every draft.
Payment history
How often each customer pays late, and by how much, is worked out for you.
Next chase at a glance
See when each customer is next due a reminder, or that they've promised a date.
Partial payments
Record part-payments and reminders mention only what's still owed.

Your rules

Set how chasing works once, and Vowline follows it every day.

Escalation timing
Choose how many days overdue each stage starts.
Gap between reminders
At least 7 days between reminders for the same invoice by default.
Weekends
No weekend reminders unless you switch them on.

Privacy and security

Your customers' details stay protected.

Hosted in Singapore
Data is stored in Singapore, and each account is isolated at the database level.
No training on your data
Drafting uses Anthropic's Claude, which doesn't train on your data by default.
Private emails
Summary emails contain counts only, never customer names or amounts.
