Questions about Vowline
How WhatsApp payment reminders are drafted, sent and protected, and what it all costs. Can't find your answer? Email hello@vowlineapp.com.
What is Vowline?
Vowline is accounts receivable software for Singapore SMEs that drafts and sends WhatsApp payment reminders for overdue B2B invoices. Every night it prepares a reminder for each invoice that is due one, in a tone that suits that customer, and you review and send it in the morning.
Does Vowline send messages without my approval?
No. Every reminder waits for you to review and send it. You can turn on autopilot for individual customers you trust, and it only applies to the first, friendliest reminder.
Which WhatsApp number do the reminders come from?
From your own WhatsApp Business number, the one your customers already know. You connect it once through Meta's official WhatsApp Business Platform and keep using the WhatsApp Business app as normal. If you'd rather keep reminders separate, you can connect a dedicated number instead. Your personal WhatsApp is never used.
How much does Vowline cost?
S$100 a month, billed every 6 months in advance (S$600), with setup included and every feature. WhatsApp's message fees are billed separately by Meta, at about 2 cents per reminder in Singapore. No GST is charged.
Are there any costs on top of Vowline?
Only WhatsApp's own message fees, which Meta bills to you directly at cost. Each reminder costs about 2 cents in Singapore (rates vary by country), so most businesses pay around S$1 to S$5 a month. Customer replies, and messages you send from your own WhatsApp Business app, are free.
How does Vowline decide how firm a reminder should be?
It looks at how many days the invoice is overdue, your escalation thresholds (3, 14 and 30 days by default), the customer's payment history, and the notes you have written about that customer. Reminders move from a friendly nudge, to a direct request for a payment date, to a firm final reminder, and you can cap how far each customer escalates.
What happens when a customer replies?
Vowline reads the reply and acts on it. A promise to pay pauses reminders until that date, a dispute stops reminders for that invoice, and a claim that the invoice is already paid is flagged for you to check. Every reply is saved in Chats, where you can respond directly.
When are reminders drafted and sent?
Vowline drafts the day's reminders at 12am Singapore time. At 8:30am it sends any autopilot reminders and emails you a short morning summary of what's waiting, so customers only ever hear from you at a normal hour. You can review and send from your phone or computer whenever suits you.
Can I send several reminders at once?
Yes. Tick the reminders you've reviewed and press Send all. Vowline shows you exactly who will receive one before anything goes out, then sends them one by one with the same checks as a single send.
What does the morning summary email include?
How many reminders are waiting for your review, how many customers replied overnight (and whether they promised a date, raised a dispute or said they've paid), and a warning if anything needs attention with your WhatsApp number. It never includes customer names, invoice numbers or amounts.
Will Vowline chase customers on weekends?
Not by default. Vowline skips weekends and waits at least 7 days between reminders for the same invoice. If you'd like reminders on weekends too, you can switch that on in your rules.
Could my WhatsApp number get restricted by Meta?
Meta can limit any number whose messages are often blocked or reported, so Vowline is built to protect yours. Reminders only go to customers you invoice, at least a week apart. A newly connected number starts gently, with up to 20 reminders a day and autopilot off for the first 7 days. Vowline checks your number's quality rating every day, pauses autopilot if it drops, and warns you straight away.
Do reminders look like generic templates?
No. Each reminder opens with the invoice details, then a personal note written for that customer, then a short sign-off. The note is drafted from your notes and the customer's payment history, and you can edit it before sending. The opening and sign-off match the stage, so a first reminder reads warmer than a final one.
Do I need Xero or other accounting software to use Vowline?
No. You can paste invoices straight from Excel, upload a CSV file, or add invoices one at a time. Vowline matches each invoice to a customer and tracks which invoices have been paid.
What do I need to get started?
A WhatsApp Business number (or a spare SIM for a dedicated one), a Facebook account to confirm your business with Meta, and a list of your open invoices. We set up your account with you on a short call.
Who is Vowline for?
Singapore small and medium businesses that invoice other businesses and spend too much time following up on late payments, such as agencies, trading companies, logistics firms, contractors and professional services.
Is my data secure?
Your data is hosted in Singapore and each account's data is isolated at the database level, so no other account can see it. Reminders are drafted with Anthropic's Claude, which does not use your data to train its models by default, and messages are sent through Meta's official WhatsApp Business Platform.
