How it works

Reminders drafted overnight, sent with one tap in the morning

Set Vowline up once. After that, every overdue invoice gets a reminder drafted at midnight, written for that customer, and waiting for you to review by 8:30am.

Getting set up

  1. 1

    Connect your WhatsApp Business number

Sign in with Facebook to confirm your business with Meta, then scan a QR code with your WhatsApp Business app. You keep using the app as normal. You can connect a dedicated number instead if you prefer.

  2. 2

    Import your open invoices

Paste rows from Excel or upload a CSV with invoice number, customer, contact, phone, amount and due date. Vowline matches each invoice to a customer and shows a preview before saving.

  3. 3

    Add notes on your customers

Write a line or two on how each customer should be treated, for example 'long-standing client, keep it warm' or 'often late, be direct'. Every reminder follows these notes.

  4. 4

    Set your rules

Choose when reminders escalate (3, 14 and 30 days overdue by default), the minimum gap between reminders, whether to chase on weekends, and any lines the reminders must never cross.

Promises pause chasing, disputes stop it, payment claims are flagged.

How reminders escalate

Each invoice moves through up to three stages, with at least 7 days between reminders. You can change the timing, and cap how far any customer escalates.

From 3 days overdue

Stage 1 · Friendly

Assumes it was an oversight. Warm, short, and asks when payment is planned.

From 14 days overdue

Stage 2 · Direct

Polite but firmer. Notes the invoice is still outstanding and asks for a specific payment date.

From 30 days overdue

Stage 3 · Firm

Plain-spoken and professional. Makes clear the invoice is significantly overdue and needs resolving.

When a customer replies

“Will pay on Friday”

Promise

Chasing pauses until Friday, then resumes if it's still unpaid.

“This amount is wrong”

Dispute

Chasing stops for that invoice so you can sort it out.

“We paid last week”

Says paid

Flagged for you to check and mark paid.

“Please ask our accounts team”

Deflection

A follow-up asking for a payment date is drafted for you.
